This notice explains what personal data Arctic Fire Limited collects through this website and in the course of providing fire door and fire stopping services, why we collect it, and what rights you have over it. It applies to arctic-fire.co.uk. Our sister booking service firesurvey.co.uk publishes its own notice.
Who we are
Arctic Fire Limited is the data controller. We are registered in England and Wales under company number 16756636, with a registered office at Egerton House, 68 Baker Street, Weybridge, Surrey KT13 8AL and a trading address at Abbey House, 450 Bath Road, Longford, West Drayton UB7 0EB. For any question about this notice, or to exercise any of the rights below, email fire@arcticltd.com or call 020 8769 8869.
What we collect
- Enquiry details you give us. When you complete the contact form, email us or call, we receive your name, company, email address, telephone number and whatever you tell us about the building and the work you need. If you attach a drawing or an old survey report, we receive that too.
- Contract and site information. If you become a client we hold the information needed to run the job: site contacts, access arrangements, purchase orders, and the asset records produced by the survey or installation.
- Technical information about your visit. Our host records standard server logs, and — if you accept analytics cookies — we receive aggregated statistics about which pages are read. See our cookie policy.
Why we use it and on what legal basis
- To answer your enquiry and quote for work. Legal basis: our legitimate interest in responding to people who contact us, and steps taken at your request before entering a contract.
- To deliver and evidence the work. Legal basis: performance of our contract with you.
- To meet our certification and legal obligations. Our BM TRADA Q-Mark certification requires us to keep installation and maintenance records, and those records may be inspected during audit. Legal basis: legal obligation and legitimate interest in maintaining certification.
- To improve the website. Legal basis: consent, given through the cookie banner.
Who we share it with
We do not sell personal data and we do not share it for marketing. We do share it with the suppliers who help us run the business, each of which processes it only on our instructions:
- FormSubmit — delivers the contact form to our inbox.
- Cloudflare — hosts and serves this website.
- Microsoft — our email and document storage.
- Onetrace — the digital asset register in which survey and installation records are held, where that forms part of the service.
- Google — website analytics and, when we run advertising, Google Ads conversion measurement and remarketing. Both only if you accept cookies in the banner.
- BM TRADA — may see job records during certification audit.
- We will also disclose information where we are required to by law, or where it is needed to establish or defend a legal claim.
Where your data is held
Our records are held in the United Kingdom and the European Economic Area. Where a supplier processes data outside the UK, that transfer is covered by the UK International Data Transfer Addendum or an adequacy decision.
How long we keep it
- Enquiries that do not become jobs: up to 24 months, then deleted.
- Client and contract records: six years after the end of the contract, in line with the Limitation Act 1980.
- Installation, maintenance and survey records held under our Q-Mark schemes: for the life of the certified work, because the record is part of the building's fire safety information.
- Website analytics: 14 months in aggregated form.
Your rights
Under the UK GDPR you have the right to ask for a copy of the personal data we hold about you, to have it corrected, to have it erased where we no longer need it, to restrict or object to our use of it, and to receive it in a portable form. Where we rely on consent, you may withdraw it at any time. We respond within one month.
Email fire@arcticltd.com to make a request. If you are not satisfied with our response you may complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
